The Effective Institutions Project (EIP) is looking to hire an Operations and Events Associate to support EIP’s operations, alongside growing our capacity to host events together with key partners and senior stakeholders in our network. The ideal candidate is highly organized and professional, with great stakeholder management skills and a good understanding of EIP’s mission.

About the Effective Institutions Project

Founded in 2021, EIP is a network of philanthropic and civic leaders striving to improve the quality of decision-making at important institutions around the world. We monitor national governments, major corporations, and multilateral bodies to determine what could shift their actions in ways that lead to better outcomes for all, and work in partnership with our global community of changemakers to respond to challenges and opportunities as they emerge.

Since EIP’s launch, we’ve:

  • Coordinated critical and timely funding for two organizations that played instrumental roles ensuring passage of the first major AI legislation in the Western world
  • Convened dozens of funders collectively giving hundreds of millions of dollars in AI-related grants across four sensemaking workshops to identify and work through differences in goals and strategy
  • Partnered with several major foundations to scout new grantmaking opportunities and program strategies for US federal government reform
  • Helped improve safety practices at a major AI research lab via increased investment and internal integration
  • Pioneered the world’s first wellbeing cost-effectiveness framework tying the actions of key institutions to the empirical evidence on what outcomes drive life satisfaction
  • Recruited a founding board of directors featuring current and former leaders at some of the world’s largest private foundations and most important institutions

EIP is poised for major growth over the next two years and has secured a multi-year, seven-figure grant commitment to increase our capacity and impact. Overall, we expect to oversee at least $40M in grantmaking over the next two years in the areas of AI governance, peace and security, global health, and institutional accountability, and are working to add additional issue areas to our thematic coverage throughout 2026.

About the Role

As an Operations and Event Associate at EIP, you will help manage and execute on our top operational priorities, including compliance, grants administration, and overseeing contractors and stakeholder relationships. You will also plan, execute, and follow up after events with key stakeholders. The expected division of responsibility for this role is as follows:

  • Support operations and grant administration at EIP (50%): 
    • Compliance and grants administration: Ensure that EIP is compliant with all relevant regulations in the jurisdictions where we operate. Oversee grants operations to ensure that we are fulfilling the expectations of the funders and grantees we are working with in a timely and professional manner.
    • Stakeholder and contractor coordination: Develop and maintain tools to track external collaborations and interactions, and oversee projects with external contractors. This might also include support for development of board reporting (e.g., impact reports, finance, and budgeting).
    • Coordinating internal operations: Ensure that EIP is executing efficiently on operational tasks and iteratively strengthening our operational setup, by resolving tasks autonomously as well as enabling colleagues to pitch in where needed. 
  • Organize events (50%) in collaboration with colleagues at EIP: 
    • Plan events, including developing event concepts, coordinating invitations with participants, event budget planning, project management, developing event briefing materials for colleagues, sourcing and preparing venues, accommodation, catering, and transport, and supporting all other activities that will help the event run smoothly
    • Execute events in person and virtually, including liaising with event contractors and participants, documenting key decisions and outcomes, and generally ensuring an excellent experience for all participants
    • Follow up after events, including invoice processing, developing post-event impact reports and action points for EIP and other participants, suggesting next steps and potential avenues for future collaborations

    • Strong project management skills and ability to meet deadlines 
    • Ability to anticipate challenges and and plan for contingencies
    • Calm under pressure with an ability to juggle multiple priorities
    • Good basic quantitative skills with an eye for getting the details right
  • At least 1-3 years of relevant experience

The following strengths are not required, but will help a candidate stand out from the pack:

  • Experience working with high net worth individuals with appropriate discretion and professionalism
  • A proven track record of designing successful events with an ability to connect the event design to the organization mission and strategy, as well as the needs of the stakeholders
  • 3+ years of experience in an events, operations or stakeholder management role in a similar organization. A candidate with this experience would be eligible for a higher starting salary.

Compensation and benefits

We prefer that the successful candidate work from New York City, SF Bay Area, or Washington DC, but we are open to hiring in most locations around the world. We require a minimum 4-hour overlap with US East Coast working hours (9am-5:30pm). For a US-based candidate, we expect the salary to start at $65,000-80,000 per year depending on experience, with a $10,000 location bonus for candidates in our target cities. We offer a generous benefits package including 20 days’ paid time off (on top of federal holidays and a week office closure in December), health insurance with option for family coverage, and a 5% 401(k) employer contribution on top of your salary.
